Privacy Policy

01Who this policy covers

• Customers — trucking carriers (and the people who work for them) who create a ConnexusAI account.
• Shippers — anyone who requests a quote through a calculator that a Customer has embedded on the Customer’s own website.
• Prospects — carriers we contact by email to tell them about ConnexusAI.
• Visitors — anyone who browses connexusai.online.

02What we collect

From Customers

• Company name, your name, account email, and a hashed password (we cannot read the password itself).
• Business details you enter to appear on quotes: brand name, phone, address, contact email, MC and USDOT numbers, served ports, and your logo and brand colors.
• Your pricing configuration (rates, surcharges, accessorials).
• Billing status. Payments are handled by Stripe. We store your Stripe customer and subscription IDs and the subscription status, never your card number.
• If you connect your own mailbox: the SMTP host, port, username, and password. The password is stored encrypted (AES-256-GCM) and used only to send quote emails on your behalf.
• Support emails and anything else you send us.

From Shippers, on a Customer’s behalf

• Name, email address, and phone number.
• Shipment details: origin port, destination, direction, container type, shipping line, weight, hazmat flag, weekly volume, and the resulting distance and estimate.

This information is entered into a form on the Customer’s website and is collected for that Customer. See §4.

From Prospects

• Business name, location, website, business phone and email addresses, and contact names and job titles, taken from public carrier directories, government motor-carrier registrations, and the carrier’s own website.
• A copy of the carrier’s public logo, used to show what a branded calculator would look like.
• A record of the emails we sent, any replies, and any opt-out request.

Automatically

• Server logs: IP address, browser type, the pages or endpoints requested, and timestamps. Used for security, debugging, and abuse prevention.
• Cookies. We set only the session cookie that keeps you signed in to your dashboard. We do not currently use advertising, analytics, or tracking cookies. If that changes, we will update this policy.

03How we use information

• To run the Service: host your calculator, compute estimates, save leads, and send quote emails.
• To manage your account, subscription, and billing.
• To secure the Service, prevent abuse, and debug problems.
• To answer support requests.
• To tell Customers about changes to the Service or their account, and occasionally about new features (you can opt out of the latter).
• To contact Prospects about ConnexusAI, as described in §6.
• To comply with law and enforce our Terms of Service.

We do not use lead data (Shipper information) for our own marketing, and we do not sell personal information.

04If you requested a quote from a carrier

To access, correct, or delete your information, contact the carrier directly; their contact details are on the quote email you received. If you cannot reach them, email us at john@connexusai.online and we will pass the request on or help where we can.

05Who we share information with

• Google Maps Platform — origin and destination addresses are sent to Google to look up routes, distances, and maps. Google’s use of that data is governed by the Google Privacy Policy.
• Stripe — payment details for Customer subscriptions, under the Stripe Privacy Policy.
• Email delivery providers — either the Customer’s own mailbox provider (when a mailbox is connected) or our transactional email provider, to deliver quote emails and account emails.
• Hosting and infrastructure providers that run our servers and store our database.
• Professional advisers such as accountants or lawyers, under confidentiality.
• Legal reasons — when required by law, subpoena, or to protect the rights, safety, or property of us, our Customers, or others.
• Business transfers — if the Service is transferred to a company we form to operate it, or to a buyer or successor, your information moves with it under this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

06Emails we send to carriers about ConnexusAI

We send business-to-business email to trucking carriers whose contact details appear in public drayage directories, motor-carrier registrations, or on the carrier’s own website. We rely on our legitimate interest in telling carriers about a product built for them.

• Every such email identifies us, includes our postal address (2783 Bryant St. San Francisco, CA 94110), and explains how to opt out.
• To stop, reply “unsubscribe” to any of our emails or write to john@connexusai.online. We add your addresses to a suppression list and will not email you again. Opt-outs are honored immediately, and in any case within ten business days.
• We keep the suppression list for as long as needed to keep honoring your request.

07How long we keep information

• Customer account data: while the account is open, then up to 30 days after it closes.
• Leads (Shipper data): until the Customer deletes them or the Customer’s account closes.
• Server logs: up to 90 days.
• Billing records: as long as tax and accounting law requires, typically seven years.
• Prospect records and the opt-out suppression list: for as long as we run outreach, and opt-outs indefinitely.

08Security

All traffic to the Service is encrypted in transit (HTTPS). Passwords are stored as salted hashes. Connected-mailbox credentials are encrypted at rest. Access to production systems is limited to the people who operate the Service. No method of storage or transmission is completely secure, so we cannot promise absolute security. If you believe your account has been compromised, email john@connexusai.online right away.

09Your rights and choices

Whoever you are, you can email john@connexusai.online to ask us to:

• tell you what personal information we hold about you;
• correct it, or delete it;
• stop sending you marketing or outreach email;
• give you a copy of it in a portable format.

Customers can update most account information, disconnect a mailbox, delete leads, and cancel their subscription directly in the dashboard. We may ask you to verify your identity before acting on a request, and we will respond within 30 days. We will not treat you differently for exercising a right.

California residents

You have the right to know what personal information we collect, use, and disclose; to delete it; to correct it; and to be free from discrimination for exercising those rights. We do not sell or share personal information as those terms are defined in the CCPA/CPRA, so there is nothing to opt out of. Requests can be made by email; an authorized agent may submit a request with proof of your permission.

EU, EEA, and UK residents

Our legal bases are: performance of a contract (running the Service for Customers), legitimate interests (security, product communication, and business-to-business outreach), consent where we ask for it, and legal obligation. You also have the rights to restrict or object to processing and to complain to your local data-protection authority.

Do Not Track

We do not track visitors across third-party websites, so we do not respond to browser “Do Not Track” signals.

10Where information is processed

Our servers and service providers may be located in the United States, the United Kingdom, or other countries, which may have different data-protection laws than your own. Where the law requires, we use appropriate safeguards, such as standard contractual clauses, for such transfers.

11Children

The Service is for businesses and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, email us and we will delete it.

12Changes to this policy

We may update this policy. We will change the effective date above and, for material changes, email Customers at their account address before the change takes effect.
